Program and Events Coordinator

The Program and Events Coordinator plans, implements, evaluates, and assesses a variety of programs and services to meet the changing needs of the community. This position is responsible for the daily operations of the Community Center, including but not limited to: coordination of programs and events, management of contractual instructors, and assisting with reservation approval and monitoring. Under general supervision of the Superintendent of Recreation, performs all tasks related to the operation of the Department, including: 

  • Plans and implements a comprehensive program of leisure activities
  • Assess community to aid programming growth based on needs across all ages 
  • Plan and implement new and/or modified programs and events based on assessed community needs
  • Oversee the daily operations of the Senior Adult Enrichment programs and events
  • Coordinate community wide special events including but not limited to the Family Dances, Halloween in the Park, Hometown Holidays, and other seasonal special events
  • Assist in the coordination of community center rentals
  • Coordinate contractual programs within the Community Center
  • Assist with marketing and promotional information including printed material, website updates, and also participating in public speaking opportunities as assigned
  • Develop and implement social media campaigns as assigned by the Director
  • Assist with monitoring Community Center for building maintenance issues, cleanliness and safety concerns
  • Coordinate engagement with the community to aid programming growth based on needs across all ages 
  • Maintain financial accounting of expenses and revenues associated with programs and events
  • Prepare and recommend program budget requests, cost estimates, and justifications for needed equipment and supplies
  • Maintain inventory of supplies and equipment 
  • Assists with developing, executing, implementing, and adhering to annual budget, strategic and operational plan for the department
  • Perform miscellaneous duties shared by other staff such as answering the phone, typing
    correspondence, taking registration and reservations, picking up supplies, attending meetings associated with job functions, making cash deposits, etc.

Requirements
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
  • Knowledge of recreation programming, marketing strategies, and financial bookkeeping practices
  • Ability to develop, promote, and enforce recreation center rules and procedures
  • Ability to determine community needs and develop corresponding programs
  • Excellent communication skills, both written and verbal
  • Knowledge of and ability to operate standard office equipment including PC
  • Proficiency with software packages including Windows 2000, Excel, PowerPoint, and Microsoft Office (including Word)
  • Ability to learn CivicRec software (used for program registration and facility booking), Civic Plus software (used for Website) and miscellaneous software packages
  • Ability to follow oral and written instructions
  • Ability to establish and maintain effective working relationships with co-workers, other departments, city officials, and the general public
  • Ability to multi-task
  • Flexible, energetic, and outgoing personality
  • Self-starter, punctual, attentive to detail, and ability to work well with others and individually
  • Willing to provide a high level of customer service to all patrons
  • Must be able to work a flexible schedule including morning, evening, and weekends and some holidays
  • Experience with cash handling procedures
DESIRED TRAINING AND EXPERIENCE:
  • Bachelor’s degree in Recreation Administration, Leisure Administration or related field
  • Two years of experience in recreation programming
  • Certified Park and Recreation Professional certification or the ability to obtain certification within one year of hire date
  • CPR certified preferred
  • Customer service and/or office assistant experience
